Privacy policy

How ExpoEver collects, uses and shares information when you explore, exhibit or make a purchase.

Who this policy covers

This policy covers ExpoEver at expoever.com, a global digital exhibition platform operated from India by SpliceAI. It applies to visitors, exhibitors and people who contact us. For privacy requests, contact hello@expoever.com. Third-party exhibitor websites and services have their own privacy policies.

Information we collect

Account and support information: your email address, name, optional phone number, visitor or business account choice, sign-in verification and session information, and details you send when asking for support. Network identifiers and technical logs help us secure sign-in, prevent abuse and troubleshoot failures.

Exhibitor information: booth details, websites you ask us to read, logos, images, videos, brochures, social links, generated drafts, published content and live-session details. Content you publish, including downloadable files, is available to visitors.

Visitor information: a visitor identifier, avatar preferences, saved booths, hall position, reminders and any visitor-card name, role and links you provide. Shared hall presence, including your chosen display name, avatar and position, may be visible to other visitors.

Conversations: questions, AI responses, session history and activity times are stored to provide and resume booth conversations. If you enable voice, microphone audio is transmitted for speech recognition and the resulting text is processed to generate a reply. Do not include sensitive personal information in booth conversations.

Payments: purchase reference, product, amount, currency, payment status and provider transaction identifiers. Payments are processed by PayPal. Payment card details are entered on the provider’s hosted checkout; ExpoEver does not receive or store your full card number or security code.

Why we use information

We use information to authenticate users, provide and personalise exhibition features, process and fulfil orders, produce AI answers, prepare booth content, share cards when requested, provide customer support, investigate abuse and meet legal and accounting obligations. Booth activity counters record visits, questions, link clicks and downloads. Product activity records associate a visitor identifier with the booth and product, event time, successful opening of a 3D detail view, first deliberate model interaction and product-page clicks. Exhibitors receive aggregate product reports, not the visitor identifiers behind those counts. Cards are shared only when you choose to leave one; product activity does not automatically share your card or contact details.

Where applicable data protection law requires a legal basis, we rely on performance of a contract for requested services, legitimate interests in running and protecting the platform, legal obligations for required records, and consent where required for optional processing. You can stop optional voice input or card sharing at any time.

Who receives information

Service providers process information needed for their functions. These include PayPal for payments; Microsoft Azure AI for AI text generation and booth content preparation; Deepgram for speech recognition and generated speech; Firecrawl, when enabled, for website research; and our hosting, storage and email-delivery providers. Relevant conversation text, booth context, audio or website content is sent to the provider performing that task.

When you choose “Leave your card”, that exhibitor receives the name, role and links on your card. You can take the card back in ExpoEver, but doing so cannot erase copies already retained by the exhibitor. The exhibitor is responsible for its subsequent use of those details. Publishing a booth or broadcasting a live session makes the content you choose to share visible to its audience.

We may disclose information when legally required, to protect users or the service, or as part of a business transfer subject to applicable safeguards. We do not sell personal information. Exhibitors are given the card information you deliberately share and activity information relevant to their booths.

Cookies and browser storage

We use cookies for sign-in, security and visitor identity, and browser storage for preferences and drafts. The Cookie Policy describes these uses and your browser controls. Blocking necessary storage can prevent sign-in, saved preferences or access to visitor-linked information.

Optional first-party usage analytics

Only if you choose Allow analytics, we use random browser and session cookies to measure page categories, hall entries, sample booth views, named proposal previews, account creation and booth checkout and payment conversions. We store pseudonymous cookie hashes, event time, coarse source and approved campaign codes. This dataset contains no raw IP address, user-agent, full referrer, URL query, signed preview token, chat text, email or name. Payment attribution uses a one-way keyed purchase reference; payment records remain separately held for providing the service.

This optional measurement is based on your consent. Raw analytics events expire after 90 days, with cleanup hourly while the service runs. Administrator and known staff traffic is excluded; when a browser is recognized as staff, its retained analytics is removed. Unique browsers are not unique people, and analytics omits visitors who decline or block it.

Use the Privacy choices button on any page to decline or withdraw analytics consent. Turning analytics off clears its identifier cookies and deletes retained analytics linked to that browser. A keyed exclusion record remains until the old identifier expires, up to 90 days, solely to prevent delayed requests from restoring deleted analytics. Do Not Track and Global Privacy Control disable collection. We do not sell analytics data, use advertising pixels or send it to a third-party analytics service. These choices do not disable essential authentication, operational or payment records described elsewhere in this policy.

Retention, security and international processing

We keep information for as long as needed to provide the relevant service, maintain account and conversation continuity, resolve disputes and meet legal obligations. Retention depends on the record and purpose; there is no single automatic deletion period for all stored conversations or accounts. You can ask us to review or delete your information. Transaction records and information required for legal or security reasons may need to be retained after a deletion request.

We use access controls, protected sign-in and other technical measures to reduce unauthorised access. No internet service can guarantee absolute security. Our providers may process information outside your country, including in India and the United States. Where applicable law requires safeguards for international transfers, those requirements apply to our use of providers.

Your choices and rights

You can edit your booth or visitor card, retract a shared card, stop voice input and manage browser storage. Contact hello@expoever.com to request access, correction, deletion, a copy of your information, restriction or objection to processing, or to withdraw consent where processing relies on consent. Availability of individual rights depends on applicable law. Withdrawal does not affect earlier lawful processing.

Include enough information to locate your account or visitor record, but never send a password, sign-in code or full payment card number. We may verify your identity before acting and will respond within the timeframe required by applicable law. You may also complain to the relevant data protection authority. This service is not directed to children under 18; contact us if you believe a child has supplied personal information.

We update this policy when our practices change and show the revision date above. Material changes will be communicated where required.
